Rental & Damages Policy



Explanation of Service

Desert Sage Picnic Co. is providing a rental service of picnic items, gear, and decor that include full set up and tear down services.

Cancellations, Refunds & Retainer Deposit

A retainer deposit is due at booking to reserve the date. This amount is refundable due to cancellation or reschedule up to 7 days prior to date of service for picnics under 6 guests or 14 days for picnics and events larger than 6 guests. After this date, the retainer will be put toward the total invoice amount due and will no longer be refundable.

Cancellations made up to 72 hours prior to event/rental are subject to a charge of 50% of the invoice amount. No fees or charges will apply to picnics or rentals rescheduled up to 72 hours before date of service. Booking for a future date is dependent on schedule availability. Cancellations and changes made after this date are subject to additional cancellation and rebooking fees.

Special order items such as custom florals and food orders to our vendor partners are not refundable.

If an invoice is not fully paid by 72 hours prior to the picnic or event date, we reserve the right to nullify the reservation with a cancellation fee and release the date to be booked by other clients.

Group Picnic and Event Deposit

A $100 refundable damage deposit is required for events of more than 10 guests and rentals of picnic setups for more than 24 hours. This amount is in addition to the total invoice amount and will be refunded at pick up after inventory is assessed and counted as long as no items are missing or damaged. This $100 deposit can be waived for parties of 10-15 if a client card is on file in the event of additional charges due to damages or missing items.

Rescheduling Due to Weather and Illness

We always hope to provide a safe and clean experience for you. This includes cleaning and sanitizing our inventory regularly and using an abundance of care when handling table settings and food from our vendor partners.

We ask that you contact us prior to your picnic reservation if you are feeling unwell or suspect you may have any contagious illness so we can provide options for rescheduling.

Please know that in the unlikely event we ourselves feel unwell and need to change your reservation, we will do what we can to either get you rescheduled for the earliest possible date or find another wonderful local picnic company to fill in for your booking. We will communicate all options with you as early as possible. 

We do our best to stay updated on possible inclement weather and contact you with options as early as possible. In the event the weather is not conducive to an outdoor picnic, we will offer to move the location indoors at a location of your choosing. If that is not possible, additional options can be discussed such as rescheduling for a later date. 

Please be aware that high temperatures, other than unexpected extreme heat advisories, are not included. Consideration should be made on average temperatures at your picnic location prior to booking certain months of the year.

Damaged and Missing Items 

Clients take full responsibility for the picnic inventory for the duration of their reservation.

If you intend to leave early before your full reservation time is up, please contact us so we can secure the items.

For longer events and overnight rentals, be sure equipment is secured when not in use and protected from the weather.

Normal wear and tear is to be anticipated and we do expect to do light cleaning and sanitizing on most of our inventory. Examples of excessive damage include broken tableware, rugs and pillows stained from spills and misuse, and using tables or other furniture for purposes not typical. Our tables are not meant to hold a person’s weight and should not be sat on or stood upon. 

Fees for damaged and missing items may amount to the cost of professional cleaning/repair up to and including full replacement cost. 

Children, Pets, and Additional Information

If picnic or event will be at a private residence, we require a clean and dry area to set up. For outdoor bookings, access to picnic area through an exterior gate is preferred for ease of set up and tear down. 

Please keep pets and animals away from and off of our set ups for the duration of your rental period. An additional damage fee may be assessed for any pet hair or stains that require professional cleaning. 
Please do not smoke on or near our inventory. We have many unique pieces that can be damaged by strong odors.

We know our youngest guests love picnics too! We appreciate it if you let us know at booking if your picnic will be including children. Don’t worry, your set up will be just as beautiful as ever. We will just make an effort to use easily washable inventory to avoid any possible damages.
